Hayes Valley Community Board Posting Guidelines

History/Context

The Hayes Valley Community Bulletin Board @ PROXY was conceived and funded by the Hayes Valley Neighborhood Association (HVNA), the Hayes Valley Merchants Council (HVMC) and PROXY in 2023. It exists at the southeast corner of Hayes and Octavia on the PROXY site, facing outward to the sidewalk to promote community centered events within Hayes Valley.

Purpose

The purpose of the Hayes Valley Community Bulletin Board @ PROXY is to share information about community events, programs, and activities taking place in Hayes Valley. The board is intended to help residents, visitors, and local organizations learn about opportunities to gather, participate, and engage in neighborhood life.

Eligible Postings

Eligible postings must promote a specific upcoming event or program that meets all of the following criteria:

  • takes place within the Hayes Valley neighborhood

  • is open to the public

  • includes the event name, date, time, and location

  • includes the hosting organization or sponsor

  • identifies a responsible organizer or contact person and includes a method of contact (such as an email address or phone number)

  • flyers that do not identify a responsible organizer or contact person may not be posted.

EXAMPLE POSTINGS include:

  • neighborhood meetings

  • cultural or arts events

  • educational programs or workshops

  • civic engagement events

  • community gatherings hosted by local organizations or businesses

  • HVNA and HVMC contact information for membership and general inquires

  • PROXY newsletter sign-up (sharing info on free cultural programming at PROXY)

Posting Format

To ensure fair use of space:

  • 8 1/2 x 11 inch flyers is the typical maximum size of postings

  • exceptions may be made for 11x17 format if space, if available

  • flyers may be posted no more than 45 days before the event — though, due to limited space, priority for postings will be for events closer to the present day

  • flyers will be removed for events that have already taken place

Board Layout

PROXY will manage the organization of the bulletin board layout to maintain cohesive sections.

For major neighborhood events such as annual festivals, neighborhood celebrations, or large community programs — the bulletin board may be dedicated in whole or in part to promoting the event for a limited period of time.

Posting Process

The bulletin board is maintained by PROXY.

Flyers must be submitted for posting and may not be placed directly on the board by members of the public.  Postings must be submitted at least one week in advance of the requested first date of posting.

A permanent notice within the Community Board lists these three email addresses by which members of the public and community organizations may request that items be posted within the Community Board:

Content Review

While collection of the submissions can come through the list of recipients above, PROXY will review in consultation with submitters to insure alignment with the goals and intentions of the bulletin board. Materials that do not align with the purpose of the bulletin board may be declined.

Posting Duration

Flyers will be removed after the event concludes or if the flyer no longer meets the posting guidelines.

General Content Standards

The board is intended for event information and community programming. Examples of postings generally not permitted include:

  • items for sale or personal advertisements

  • general commercial advertising unrelated to a specific event

  • campaign materials for political candidates or ballot measures

  • postings that target individuals or organizations

  • materials that are defamatory, discriminatory, inflammatory or untrue

Community Resource Information

The bulletin board may also include informational materials that help residents and visitors access city services or community resources. Examples may include information on how to submit a 311 request, contact neighborhood safety resources, access outreach services, or connect with relevant city departments.

Management of the Community Board

PROXY monitors the board and may remove materials that do not meet these guidelines. PROXY may remove or reposition postings as necessary to maintain the orderly management of the bulletin board and ensure space remains available for community information consistent with these guidelines.

Materials that interfere with the effective operation or maintenance of the bulletin board may be removed at PROXY’s discretion.
